Accounts Receivable & Grants Specialist

This position is responsible for the recording of all revenue generating functions of The Florida Aquarium, including but not limited to maintaining accounts receivable subledger, including all invoicing, reconciliation with the general ledger, and collection efforts with customers.  Additional receivable functions include grant tracking, recording Blackbaud Altru POS revenue, consignment ticket accounting, campus partner revenue, and pledges receivable.

Essential Position Functions
  • Records admissions revenue from Altru point-of-sale system
  • Processes remote check deposits and posts to the general ledger on a daily basis
  • Maintains restricted accounts and grant accounting, including invoicing based on contract terms
  • Assists the Director of Grants with reporting as needed and other grant-related activities
  • Posts pledges receivable to the general ledger and recognizes pledges as they are received
  • Prepares monthly invoices for 3rd party partners, including campus partners
  • Records monthly consignment ticket revenue
  • Reviews banking activity and posts cash receipts
  • Recognizes deferred revenue on a monthly basis
  • Reconciles receivable general ledger accounts monthly
  • Researches and processes chargebacks
  • Delivers extraordinary customer service to all aquarium guests and internal customers.
Secondary Functions
  • Serves as backup support for accounts payable and cash control
  • Performs other duties assigned or required.
Qualifications and Technical Skills 
  • Two-year degree in finance, accounting or equivalent work experience
  • Experience working for a not for profit, specifically with federal grants, is a plus
  • Microsoft Dynamics GP or other accounting software experience is a plus
  • Knowledge of Blackbaud’s Altru POS system is a plus
  • Knowledge of Microsoft Office software
  • Extensive knowledge of Microsoft Excel required
  • Ability to multi-task several projects at once

  • Typing on a computer keyboard

  • Excellent vision for proofing and detail work
  • Coping with demands (stresses that are associated with the job and/or the work environment) so that acceptable levels of performance and overall contribution are maintained
