The Career Exploration Specialist recruits and screens applicants for intern positions coordinates placement and onboarding processes, and serves as a resource to active volunteers and interns providing guidance and support. The Specialist also assists the Associate Director in designing and implementing continuing education programs for volunteers & interns, screening and placement of volunteers, and implementing special programs and events.
SCHEDULE
This is a full-time regular position offering a comprehensive benefits package. The schedule will be Tuesday - Saturday or Sunday - Thursday from 8:00 am - 5:00 pm EST with the option for a hybrid schedule, working some days on-site and some days remotely. Remote days are only available for residents of MA, RI, NH, ME, and VT.
ESSENTIAL FUNCTIONS
- Program Strategy - Works with Associate Director, Volunteer Programs & Internships, to vet new internship positions and design appropriate job descriptions and recruitment strategies; reviews and recommends improvements to internship recruiting, onboarding, communication, and professional development practices and processes.
- Recruitment - Responsible for the posting and communication of intern positions, and networking with colleges with the goal of attracting a diverse pool of applicants each search cycle. Acts as the primary recruiter at college volunteer and internship fairs, and other relevant events. Maintains a high level of knowledge about departments and jobs at the Aquarium. Identifies appropriate candidates for open intern positions and presents them to the department for consideration.
- Application Process - Coordinates the receipt, processing, and prescreening of 700+ internship applications for 150 internships annually including Spring, Summer, Fall, and Winter cycles. Interviews via Zoom 30-90 applicants each month. Serves as liaison to candidates, communicating status updates regularly. Responds to a high volume of telephone and email inquiries from potential volunteers and interns in a timely fashion and demonstrate superior customer service. Responsible for managing the internship application process in Salesforce (an automated, online system) to increase internal efficiencies including initial transition, troubleshooting and continued maintenance.
- On-boarding Process - Conducts orientation and safety training for interns and completes the on-boarding process collecting all necessary documentation. Creates and distributes volunteer and intern identification cards and uniforms.
- Record-keeping and Reporting - Creates detailed full-picture profiles of every internship participant within the Salesforce database and maintains all internship records, schedules interns, and maintains service hours, benefits information, and detailed communications records. Works with the Associate Director to design and implement regular reporting, storytelling, and dashboards to increase transparency of the program and communicate the value of interns to all stakeholders.
- Professional Development - Aides in the design and delivery of professional development opportunities for New England Aquarium interns. Coordinates and facilitates training regularly.
- Events and Communication - Aides in the planning and implementing of Volunteer and intern-related community-building events. Contributes to ongoing communications, newsletters, and social media efforts relating to Volunteers and interns.
- Performs other position-related duties as assigned.
QUALIFICATIONS
Minimum Training and Experience
- Requires a bachelor's degree and 2 to 4 years of related experience.
- Specific degree preferred: volunteer administration, hospitality, museum studies, adult development, human resources, education, psychology, or sociology.
- Experience managing a high volume of incoming and outgoing communication in a Human Resources or Customer Service setting is required.
- Experience screening, interviewing, and onboarding with proven results sourcing and attracting diverse talent required.
Knowledge, Skills, and Abilities
- Strong interpersonal skills and experience working with a broad range of people in a customer service-related capacity.
- Experience recruiting and presenting at community events and or/ internship fairs preferred.
- Experience with MS Office, Mail Chimp, Form Assembly, and online databases such as Salesforce and applicant tracking systems preferred.
- Experience tracking and maintaining high volumes of data in a database system preferred.
- Proven success designing and implementing coursework, lectures, trainings, meetings, or programs for audiences over the age of 18 preferred.
- Experience working with teens and adults from diverse racial/socioeconomic populations preferred.
- Excellent verbal and written communication skills. Experience writing in a business setting preferred.
- Highly detail-oriented and organized with administrative experience in a fast-paced environment.
- Self-motivated with strong problem-solving skills and an ability to work independently and in a team.
