Job Summary:
Under general supervision, serve as a compassionate advocate and strategic partner in safeguarding the wellbeing of Monterey Bay Aquarium staff, volunteers, and guests. Combine technical expertise with genuine care for people, optimize and administer all EHS onboarding and program maintenance processes including the Workers' Compensation Program, Chemical Safety & Hazard Communication Program, and other Environmental, Health, Safety & Security initiatives that protect our people and furthers the Aquarium's conservation mission. Champion a human-centered approach to workplace safety by managing complex workers' compensation cases with empathy, building meaningful relationships with injured employees, medical providers, and cross-functional teams to ensure every worker receives dignified care and support during their recovery journey. Enhance safety programs through continuous process improvement, compliance management, and administrative excellence. Perform other duties are required.
Core Activities:
- Administration & Compliance Management
- Administer workers' compensation claims process by coordinating regular check-ins with injured staff, orienting employees through the recovery process, updating claims data in carrier systems, coordinating approved medical visits and treatment, completing required forms, and responding to information request from claims adjusters and medical providers.
- Maintain comprehensive workers' compensation records including policy documentation, assigned claims & adjusters tracking, case files, quarterly loss run reporting for regulatory compliance, schedule and coordinate Open Claims Review meetings.
- Administer and continuously improve EHS programs to meet Cal/OSHA and California Labor Law requirements, managing program documentation, tracking regulatory changes, and maintaining compliance records.
- Audit and optimize integrated databases and systems including online safety training (MBA Learns), Safety Data Sheet systems, Industrial Hygiene report, PPE Vending, and internal safety resources (Tidepool), ensuring data accuracy, correcting items requiring updates, and maintaining information accessibility.
- Enhance and administer Safety Office SOPs, streamline worker onboarding and offboarding processes, facilitate program processes and procedures.
- Program Design, Development
- Design comprehensive safety program databases and systems including but not limited to Lockout/Tagout Equipment De-Energizing Procedures, Safety Data Sheet management systems.
- Develop document control for medical evaluation records, occupational vaccinations, and organizational safety & health preventative maintenance. Lead the improvement of the Workplace Violence Prevention Plan Program by identifying regulatory requirements, organizational needs, updating program materials and documentation, creating response protocols, establish and maintain program standards.
- Deliver compliance training programs including but not limited to online systems, in-person safety tailgate series, and assist with certificated hands-on trainings like Confined Space, Elevated Work & Fall Arrest, Lockout/Tagout, train-the-trainer curricula, develop Standard Operating Procedures (SOPs), and create training materials that address diverse learning needs.
- Analytics & Strategic Insights
- Produce analytics on workplace injuries, near-misses, workers' comp claims, and deliver reports (Safety Committee updates, loss runs, OSHA 300 Logs), and track safety performance metrics to identify trends and recommend strategic steps for data-driven solutions.
- Implementation & Process Improvement
- Implement return-to-work accommodations by creating workflows in collaboration with managers and supervisors, identifying potential work modifications based on medical restrictions, and drafting accommodation documentation.
- Implement risk and hazard mitigation processes for emerging hazards and new regulatory compliance goals.
- Setup new program functionalities in databases, maximize efficiency of existing programs and databases, identify improved system features based on operational needs, and track program implementation progress for Aquarium teams and partners.
- Vendor & Stakeholder Relationship Management
- Build and maintain relationships with workers' compensation medical providers (Medical Provider Network), insurance carriers, claims adjusters, nurse case managers, and organizational workers and supervisors to coordinate medicate care, injury accommodations, and claims processing.
- Coordinate Safety Office events by managing all logistics including vendor contracts, Certificates of Insurance (COI), budgeting, staff communications, space reservations, and event flow for staff recognition programs, annual flu clinics, occupational respirator and vaccination clinics, and community blood drives.
- Floor Audits & Investigations
- Conduct weekly safety inspections and injury/incident investigations using root-cause analysis methodology.
- Recommend and assist with implementation of corrective actions for systemic improvements such as, hazard elimination and correction, and injury prevention while ensuring thorough documentation for regulatory reporting.
Preferred Knowledge, Skills, & Abilities (KSAs):
- BA or equivalent combination of education, training, and experience
- 2 years' experience with workers comp insurance claims filing & management and ability to develop processes to enhance worker's comp & safety programs to meet strategic goals
- Experience with independently creating, enhancing, and managing databases and streamlining administrative processes
- Ability to foster and maintain relationships with internal staff, Managers, Directors, and 3rd party partners & vendors
- Excellent written and oral communication skills
- Self-directed with excellent time management
- Experience with health care provider/medical claims administration
- Ability to provide accurate data and reports as needed for budget, schedule, and activities
- Strong organization and interpersonal skills

Annual Compensation Range:
$70,304-$82,000 USD annually. Starting rate will vary based on previous experience and relevant skills/knowledge set.
