The Executive Business Assistant (EBA) to the Senior Vice President of Operations (SVP) at Loveland Living Planet Aquarium provides comprehensive executive and operational support. This role combines administrative, project management, and strategic assistance, ensuring the SVP’s priorities align with the organization’s mission and goals. The EBA acts as a liaison with internal and external stakeholders, contributes to organizational efficiency, and assists in driving key initiatives.
Essential Duties and Responsibilities:
- Manage the SVP’s calendar, schedule appointments, and coordinate travel arrangements.
- Prepare materials for meetings, including agendas, presentations, and follow-up reports.
- Act as a primary point of contact between the SVP and internal/external stakeholders.
- Maintain confidentiality and professionalism when handling sensitive information.
- Proactively anticipate the SVP’s needs, identifying and resolving potential challenges.
- Assist in planning, executing, and tracking operational projects across departments.
- Monitor project progress, identify issues, and report updates to the SVP.
- Collaborate with cross-functional teams to align efforts with organizational priorities.
- Provide insights and recommendations based on data analysis to support decision-making.
- Analyze organizational performance metrics and provide actionable insights.
- Support the tracking and reporting of Key Performance Indicators (KPIs) to measure success and drive improvement.
- Develop and present strategic reports to inform the SVP’s decision-making.
- Build and maintain strong relationships with internal teams, external partners, and stakeholders.
- Coordinate and facilitate team meetings and events to foster collaboration.
- Organize and maintain accurate records, files, and documentation.
- Handle correspondence, prioritizing urgent matters and ensuring timely responses.
- Conduct research and provide strategic briefings to support organizational initiatives.
- Perform additional administrative tasks and ad hoc projects as needed.
Qualifications:
- Bachelor’s degree in Business Administration, Operations, or a related field (or equivalent experience).
- 5+ years of experience providing executive support, with exposure to project management.
- Proficiency in Microsoft Office Suite and project management tools.
- Demonstrated analytical skills, with the ability to synthesize data into actionable recommendations.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
