HR Operations Coordinator - Volunteer Programs

We are seeking an Operations Coordinator to provide administrative, and programmatic support to the Volunteer Programs & Internships (VPI) team, ensuring efficient processes, accurate recordkeeping, and high-quality service to employees, Volunteers, & Interns.

  • This is a six-month (temporary), full-time (Monday-Friday) or part-time (Wednesday-Friday) position, with the option for a hybrid schedule, working a minimum of one day on-site at the New England Aquarium in Boston.
  • Remote days are only available for residents of MA, RI, NH, ME, NY and VT.
ESSENTIAL FUNCTIONS
  • Provide programmatic and project support to the Volunteer Programs & Internships team.
  • Oversee data management related to our Salesforce based engagement records.
  • This includes resolving bugs, modifying objects and fields, running reports, cleaning data, and entering data.
  • Manage general inquiries from applicants and staff via phone and email, providing excellent customer service in response.
  • Design and deliver community wide announcements and email communications.
  • Facilitate staff ID creation and distribution.
  • Support uniform and benefit distribution.
  • Maintain and manage paper and electronic document filing systems to ensure compliance and accessibility.
  • Respond to and triage inquiries in a timely and professional manner.
  • Perform other related duties as assigned.
QUALIFICATIONS
  • Minimum Training and Experience
  • 1-3 years of experience supporting operations in a business office.
  • Experience with data entry, and processing. HRIS, Volunteer Management Software experience helpful.
Knowledge, Skills, and Abilities
  • Proficiency in Salesforce Administration preferred.
  • Proficiency in the Microsoft Office suite.
  • Knowledge of and a commitment to inclusion concepts and initiatives in the workplace.
  • A commitment to providing a high level of service to all stakeholders, demonstrating approachability and openness.
  • A commitment to strict confidentiality.
  • Ability to communicate clear and concise information to employees at all levels of the organization in verbal, written, electronic, and other communication formats.
  • Capable of prioritizing work duties for maximum efficiency and working independently to maintain service levels.
  • A high level of initiative and creativity, as well as intuitive problem-solving skills.
