Veterinary Health Medical Records Manager (Full Time)

The Veterinary Health Medical Records Manager primary duties include recording daily medical and laboratory records into the Zoological Information Management System (ZIMS) and related record keeping modules, placing orders for office supplies, maintaining multiple digital logbooks, collaborating with the registrar team, and forwarding legal documents to appropriate entities. This position will also perform work assignments involving the daily care of hospitalized/quarantine animals as coverage when the designated Veterinary Health Animal Care Specialist is unavailable.

POSITION DUTIES & ESSENTIAL FUNCTIONS:

  • Responsible for the daily medical records of animals at the Zoo & Aquarium, including:
  • Ensuring daily medical/ anesthetic and laboratory results are entered into ZIMS and physical copies are filed.
  • Tracking & logging microchip numbers and identification
  • Maintaining & updating all procedural forms, per input from supervisor and department Director.
  • Assisting in medical record keeping for various research projects and results.
  • Communicating with Registrars in relation to animal acquisitions/disposition.
  • Providing input on animal husbandry, enrichment, and operant conditioning within Veterinary Health.
  • Preparing, sharing, and creating permanent medical records of any animals being transferred.
  • Maintaining/updating manuals and computerized systems containing animal information and sample logs.
  • Collaborating with docents or volunteers for record entry and filing assistance as needed.
  • Ensuring maintenance and quality of all veterinary health records and collaborating with the Zoo & Aquarium’s registrars coordinating accurate records.

  • Responsible for maintenance of Veterinary Health Center’s enclosure, service and holding areas on a continuing basis as needed and on designated days, including:
  • Daily cleaning and disinfecting enclosures, service and holding areas including Veterinary Health kitchen and food storage in accordance with USDA, AZA, AAZV, and other industry standard guidelines.
  • Reporting injuries, irregular behavior, death or birth of hospitalized/quarantined animals to veterinarians at time of observation.
  • Preparing diets and administering oral and topical medications for hospitalized/quarantined animals on designated days.
  • Maintaining daily reports and diet records of quarantined/hospitalized animals on designated days.
  • Maintaining in-house freshwater aquariums
  • Performing minor repairs and improvements of enclosures under supervision.
  • Reporting maintenance issues and potential safety hazards to supervisor.
  • Occasionally assisting with moving, capturing and restraining animals.
  • Occasionally assist with in-house veterinary health procedures.
  • Participating in Veterinary Health Conservation & Research programs and projects as designated.

MINIMUM QUALIFICATIONS:
EDUCATION & FORMAL TRAINING:
  • Bachelor's degree in biology, animal science, zoology or closely related field preferred.
EXPERIENCE:
  • Previous zookeeping and animal record management experience strongly preferred.
  • Strong computer skills, including Microsoft Office and ZIMS software, required.
  • Basic knowledge of animal husbandry, behavior, procedures for proper care, and training of exotic animals.
  • Strong observational skills to recognize and evaluate conditions of animal health, diets, and behavior.
  • Knowledge of general zoological nomenclature and veterinary technology.
  • Strong verbal and written communication skills.
OTHER MINIMUM REQUIREMENTS:
  • Must have valid driver’s license.
  • Must have or be able to obtain negative TB test.
  • Must be able to move up to 50 pounds with or without assistance.
  • Assistance depending upon task or role.
  • Must be able to work a flexible schedule, including weekends, holidays, and evening hours, in all weather extremes.
  • Must pass a background and drug screening.
