Volunteer Program Specialist

As part of the greater Human Resources Team at Georgia Aquarium, the Volunteer Programs Team focuses on serving and supporting our large, diverse volunteer program, including general volunteers, teen volunteers, and interns. The Volunteer Programs Specialist engages with volunteers and aquarium staff to coordinate the daily activities and functioning of the program, addressing both volunteer and organizational needs.  This role focuses specifically on the recruitment, onboarding, recognition, and retention, of our general volunteer program.

Responsibilities:
Onboarding/Recruitment:
  • Coordinate & facilitate volunteer information sessions, interviews and orientations for new volunteers
  • Download prospective volunteer applications and be first point of contact and liaison between new volunteers and all teams in preparation for onboarding
  • Process new volunteer paperwork, initiate background screenings, & update database records
  • Streamline and oversee volunteer onboarding process including facilitating a mentor/mentee program
Administrative Support:
  • Facilitate volunteer reward fulfilment including uniforms, tickets, programs, pass redemption, etc
  • Lead recognition efforts for volunteer life events (births, anniversaries, deaths, illnesses etc)
  • Conduct monthly audit of all inactive volunteers and track volunteer to staff conversions
  • Coordinate volunteer reciprocity program
  • Maintain accurate, up to date, and complete volunteer records and positions in Volgistics, our online database
  • Develop and maintain volunteer position descriptions for all administrative, front of house, and behind the scenes opportunities, process position applications, coordinate volunteer placement, conduct quarterly audit of position descriptions and files
  • Collaborate with Aquarium departments to ensure clear understanding of how the Volunteer Programs team supports the overall Georgia Aquarium Strategic Plan; support overall HR Team, as needed
  • Assist with planning and executing volunteer events including Volunteer Appreciation Week and annual Volunteer Appreciation Event
  • Perform other duties as workload necessitates
Qualifications:
  • BA/BS or experience in Volunteer Administration, Human Resources, Training/Education or related field preferred; High School Diploma required
  • Strong communication skills, both written and oral; ability to communicate with a diverse group of individuals effectively and professionally
  • High level of attention to detail with excellent organizational and time management skills; ability to manage multiple projects simultaneously with frequent interruptions
  • Proactively solve problems leading to positive outcomes
  • Partner with a wide range of internal and external stakeholders; develop good working relationships with individuals of all levels within the organization
  • Proficient with Microsoft Office Products (Word, Outlook, Excel, PowerPoint)
  • Familiarity with Volgistics or other volunteer database and/or Tessitura, a plus
  • All members of the Volunteer Programs team must be available to work one or both weekend days as part of their regular schedule and some holidays
